Assistant Property Manager
Job description
Our client, a commercial real estate management firm headquartered in Arizona, is hiring a full-time Assistant Property Manager to support the day-to-day operations of a portfolio that spans commercial properties and executive suites. This is a remote role for a candidate based in the Philippines, working US Mountain Time business hours.
You will operate as the right hand to a senior Property Manager. That means owning tenant correspondence, keeping Yardi Voyager accurate and current, running the first pass of accounts receivable and collections, drafting monthly reports, and coordinating with vendors on service agreements and work orders. You will not be a passive admin — you will be the operational engine of the portfolio. In 90 days, the PM should be able to hand you a property and trust that AR is current, COIs are on file, invoices are coded correctly, and tenants feel heard.
You should be comfortable being the first voice tenants reach when they call the main property line. You should be the person who notices that a vendor's COI is expiring next week and chases it before the PM has to ask.
Responsibilities
Serve as the day-to-day point of contact for tenant inquiries via phone and email
Draft tenant memos, correspondence, and termination forms on company letterhead
Pull AR reports, follow up on delinquencies, and escalate problem tenants to the PM before collections meetings
Input new leases into Yardi Voyager and maintain accurate account information
Code invoices through the P2P workflow and route them for approval
Set up new vendors in Yardi, including W9 and COI collection
Draft vendor service agreements and coordinate work orders and project proposals
Obtain and maintain tenant and property COIs, with CAM listed as additionally insured where applicable
Set up utility autopayments and keep utility spreadsheets current
Send adhoc letters through Yardi (New Management, New PM, and similar notifications)
Produce first drafts of monthly reports: narrative, key metrics, AR report, and budget comparison
Participate in owner meetings and support the PM with prep materials
Coordinate move-in and move-out walkthroughs as you grow into the role
Support the lease renewal process and tenant improvement coordination
Requirements
- 2+ years in an Assistant Property Manager, property administrator, or comparable commercial real estate support role
- Hands-on experience using Yardi Voyager (not just exposure to the dashboard — actual lease entry, invoice coding, vendor setup)
- Working knowledge of P2P invoice workflow: coding, routing, and approval push-through
- Demonstrated AR / collections follow-up experience, including direct tenant outreach
- Strong written English suitable for tenant memos and owner-facing correspondence
- Microsoft 365 fluency: Outlook, Word, Excel, Teams, Planner
- Adobe Acrobat and e-signature workflow proficiency
- Strong organizational discipline — able to run multiple properties in parallel without losing threads
- Ability to work independently in a remote setting while maintaining tight communication with a US-based PM
- Reliable home office, stable internet, and willingness to use Hubstaff for time tracking
- Availability during US Mountain Time business hours
Nice to Have
- Familiarity with CAM reconciliation terminology — caps, exclusions, management fee recovery
- Exposure to budget drafting or Yardi Forecast Manager
- Prior experience supporting a portfolio that includes executive suites or coworking-style properties
